Northern Futures Planning is a small Ottawa-based consulting firm specializing in northern and indigenous community planning. Job Description
The Business Operations Coordinator plays a vital role in ensuring the smooth and efficient operation of the business. This position involves coordinating business and project activities, managing administrative tasks, and providing support to the Northern Futures team. The Business Operations Coordinator will also assist in developing and implementing business processes and procedures to improve efficiency and effectiveness.
Responsibilities
Coordinate business operations to ensure efficiency and productivity
Assist in developing and implementing business processes and procedures to improve operations and effectiveness
Provide support to the Northern Futures partners in business operations.
Provide support on the Housing Accelerator Fund projects including tracking milestones, deadlines and project budgets
Oversee internal and external company communications
Assist in budget planning and management for office-related expenses (ex. Invoicing, time tracking such as vacation, personal time off, overtime, training, etc.)
Handle confidential information with discretion and maintain confidentiality
Handle administrative tasks such as scheduling appointments, managing correspondence, and maintaining records
Coordinate office activities and events, including meetings, conferences, team-building activities and support with hiring
Liaise with vendors, suppliers, and service providers to ensure smooth operations
Manage office supplies, inventory, and equipment, ensuring adequate stock levels and proper maintenance
Perform other duties as assigned
Requirements
Bachelor's degree in Business Administration or related field preferred
Proven experience in business operations or a similar role (2+ years)
Strong organizational and time management skills
Excellent communication and interpersonal skills
Ability to work independently and as part of a team
Proficient in Microsoft 365 (particularly Excel, Word, PowerPoint)
Experience using Quickbooks (1+ years)
Experience in project coordination (2 years)
Experience in budget planning preferred (1+ years)
Attention to detail and accuracy
Ability to multitask and prioritize tasks effectively
Strong problem-solving skills
Ability to adapt to changing priorities and work in a fast-paced environment
Ability to handle confidential information with discretion
Knowledge of office procedures and best practices
Salary and Benefits
Starting Salary: $28 per hour (open to negotiation based on experience and qualifications).
Paid Time Off: 15 days vacation plus 5 personal days (to be used for sick days, appointments, caregiving responsibilities, etc.).
Work Schedule: Full-time, 37.5 hours per week (7.5 hours per day). We are also open to a 30-hour work week arrangement.
Work Environment: Primarily remote work, with availability to work two half-days in-office with company partners per month.
Work Hours: The work hours are expected to be completed within the core working hours of 8:00 am to 5:30 pm, Monday to Friday.
Other Benefits: Health Spending Account (HSA) of $1,500 and Professional Development training budget of $500.

Community Planner
We are adding a new community planner to our consulting team providing community planning services to clients across Northern Canada. We are seeking an individual in the early-mid stage of their career who has obtained, or is eligible for, membership in the Canadian Institute of Planners.
We are a small Ottawa-based consulting firm specializing in northern and indigenous community planning. We build our team by recruiting talented planners with a passion for the North and then training and mentoring them with care. Loving how we work is just as important to us as loving what we do – which is why we maintain a flexible schedule and office environment that lets us balance work and life. We employ a flexible hybrid workplace model including primarily working from home with in-office collaboration sessions. Some travel is required to northern Canada, including Nunavut.
Responsibilities
Provide community planning and development review support services to clients
Support short- and long-range planning exercises including in-community consultation
Research planning policy and best practices
Assist with proposal writing
Interface with clients remotely through email, conference calls and video calls
Provide on-site planning advisory support and undertake on-site planning exercises in client communities in northern Canada
Assist other team members as needed
Requirements
1 - 4 years of experience
Ability to write in a clear and concise manner for targeted audiences
A great listener with ability to communicate clearly with people of diverse disciplines
Understanding of regulatory tools used to control land use and development in communities
Ability to work effectively remotely with limited supervision
Ability to travel within Canada for work trips up to two weeks in length
Ability to manage time and prioritize activities over a number of projects
Cross-cultural competency
A Bachelor’s degree in Planning (Master’s degree in Planning, or Planning-related discipline, preferred)
Eligible for, or have attained, full membership with CIP and either OPPI or APPI
